Event staffing management, one event at a time
Event staffing management means we plan, place and lead the team that welcomes your guests and keeps your event secure. One team covers check-in, guest flow, VIP courtesy and event security, under one lead who answers to you and your planner. You get a single point of contact for every person working the door, the room and the back of house.
No two events are alike, which is why we review each one individually. A product launch in an office lobby, a wedding in a historic garden and a charity gala in a hotel ballroom each have different guests, different layouts and different hosts with different expectations. A one-size package would serve none of them well.
So we start every event request with questions. Where is it, and what does the venue already provide? How many guests, and is there a guest list? What is the schedule from setup to the last car leaving? Will alcohol be served? Are any guests traveling with their own staff? Who is the planner, and who has the final word on the night?
Once we understand the event, we tell you plainly whether it is a good fit for our team and, if it is, what we suggest. Some requests are a natural match for hospitality-style event staff. Others call for something we do not offer, and we will say so early so you have time to plan.
The night of an event, from setup to last guest
Our event staff arrive well before the doors open. The lead meets the planner and the venue manager, walks the space and reviews the run of show: arrival times, speeches, the moment the dance floor opens, the last call at the bar. Each team member learns their position, the radio or phone plan and who to go to for what.
When doors open, the check-in table becomes the center of the evening. Our staff greet each guest, find the name on the list, hand out wristbands or badges, and point the way to the coat check and the welcome drinks. A guest whose name is missing is not turned away at the table in front of everyone. They are walked aside, kindly, while the host team confirms.
During the event, staff watch entrances, keep the back-of-house corridor clear for caterers and performers, and keep an eye on the flow of the room so lines at the bar or restrooms do not spill into exits. When a VIP arrives, a staff member is ready at the curb to greet them and walk them in without fuss.
At the end of the night the job is a gentle exit. Staff help guests find rides, keep the valet line moving, check that no one is left in a closed area, and collect anything left behind. The lead debriefs the planner before leaving, and a short written report follows.
What our event staff do
The tasks for each event come from the event post orders we write with you. These are the ones we are asked for most often.
- Guest check-in against the list, with wristbands, badges or name cards
- Guest flow at entrances, lines, coat check and bars, so the room stays comfortable
- Directions and help for guests, from restrooms to the photo wall to the shuttle
- VIP courtesy: a discreet greeting at arrival, an escort to the table or green room, and coordination with any staff traveling with the guest
- Access control for back-of-house areas, stages and dressing rooms, for vendors and performers
- Calm, private handling of uninvited guests and anyone who needs a gentle reminder of the house rules
- Close coordination with the planner, the venue team and the catering captain
- End-of-night sweep of the space, lost and found, and a written summary for the host
Dressed for the occasion
Event staff are part of the look of the evening. You choose the presentation, and it can change from one position to another.
Black suit and black tie
The classic choice for galas, weddings, corporate dinners and awards nights. Staff blend into a formal room and still stand out to guests who need help.
Tactical presentation
A practical, visible look for loading areas, parking entrances and outdoor perimeters, where vendors and guests need to find staff quickly.
Mixed by position
Suits at check-in and in the room, tactical at the service entrance and the parking lot. We note the look for each position in the event post orders.
How we plan an event with you
Planning starts as soon as you reach out. The more lead time we have, the more carefully we can prepare, though we look at every request regardless of timing.
Event review
We talk through the venue, the guest count, the schedule and your concerns, and decide together whether our team is the right fit.
Venue walk
Where possible we walk the venue or review the floor plan with the planner, noting entrances, check-in space, back-of-house routes and parking.
Event post orders
We write a short plan for each position: where staff stand, what they do at each stage of the evening, who they report to and how the night closes.
Briefing and debrief
The team is briefed on site before doors open, and our lead debriefs you at the end of the night, followed by a written summary.
Events in Miami and beyond
South Florida has a busy event calendar. Art Basel week brings parties and private dinners to Miami Beach every December. Winter is high season for galas, charity balls and weddings in Palm Beach and in the historic venues of Coral Gables. Corporate launches, conferences and waterfront celebrations fill the rest of the year across Miami. Each setting has its own guests and its own rhythm, and our event post orders are written for that setting.
Our home base is Miami, but we put event teams together for clients wherever the occasion is. If your event is in another city or another country, tell us about it and we will review it the same way.
Who our event staffing fits
Our event staff fit event planners, hotels hosting ballroom functions, corporate teams planning launches or holiday parties, nonprofits running galas, families planning weddings and private hosts entertaining at home. They also fit resorts hosting retreats, conferences and weddings on their grounds.
Many events happen at properties we already serve in other ways. Hotels can pair event staff with their hotel security officers. Office buildings hosting a tenant event can extend their commercial office security team for the night, and resorts can do the same with their hotel security team when a wedding or a retreat takes over the grounds.
To start, send us the details of your event and we will set up a free consultation. Officers who enjoy the energy of a big night can apply on our careers page.
