A concierge security officer at the front of your building
The lobby desk of an office tower is a small command post. Tenants pass through with coffee in hand. Visitors arrive for meetings and need a pass. Couriers want a signature. A contractor needs to get to the roof. Someone has to keep all of that moving and know who is in the building at any given moment.
That is the role of a concierge security officer. VWF recruits, screens and trains unarmed officers for commercial office buildings who bring the manners of a good hotel front desk to a corporate lobby. They are just as polite with a managing partner as with a delivery driver, and they hold the line on building rules without making anyone feel unwelcome.
Our management team has more than 30 years of experience in hospitality security, and that service mindset is what we bring to offices. Tenants pay for a professional address. The first impression in the lobby is part of what they are paying for, and so is the feeling that the building is well run.
A day at the lobby desk
Before the first tenants arrive, the morning officer reviews the visitor list for the day, expected deliveries and any contractor work orders from property management. They confirm the lobby doors and access readers are working and that nothing from the overnight log is still open.
The morning rush is about speed and recognition. The officer greets regular tenants by name and keeps the line moving. Visitors sign in, the officer confirms each one with the host company, and a visitor pass goes out. When someone is not on the list, the officer calls the tenant while the guest waits comfortably in the seating area. Nobody is left standing at the desk wondering what happens next.
Midday brings lunch traffic, food deliveries and a steady stream of couriers. The officer sends packages to the mailroom or holds them at the desk according to building policy, and keeps delivery riders out of the tenant floors unless a tenant comes down or approves the visit.
In the afternoon the officer walks rounds through common areas, stairwells, the garage entrance and the loading dock, and checks that contractors are working where their work orders say. After hours the post changes character. The officer handles late entries, logs anyone working past closing, checks that common doors are secured as the building empties, and writes the daily report for the property manager.
Balancing tenants, visitors and building safety
Office security is a balancing act. Tenants want quick, friendly access. Their visitors want a warm welcome and no confusion. Property managers want to know exactly who was in the building and when. Our officers keep all three in mind at once, and the post orders tell them how to weigh each one at your property.
- Visitor management: sign-in, confirmation with the host tenant, visitor passes and a record of arrivals and departures
- Tenant service: recognizing regulars, holding packages, helping with after-hours access and passing along building notices
- Contractor and vendor control: checking work orders against property management lists and escorting where your rules require
- Deliveries and couriers: directing them to the mailroom or loading dock and keeping the lobby clear
- Patrols of common areas, garages, stairwells and loading docks on a set schedule
- Daily activity reports for the property manager, with anything unusual flagged the same day
- Support during fire drills and building alarms, following the building life safety plan
Pick the presentation for each post
Office lobbies usually call for a polished look, but the lobby is not the only post in a building. You choose how officers present at each position.
Black suit and black tie
A natural match for Class A lobbies and law, finance and corporate tenants. Officers look like part of the building management team at the desk.
Tactical presentation
Useful at garage entrances, loading docks and overnight posts, where contractors and late visitors need to spot the officer right away.
Mix and match
Suits at the lobby desk, tactical at the dock and garage. You can decide post by post, and we write the choice into the post orders.
How we start with your building
Every building has its own tenant mix, access system and management style. We do not copy post orders from one property to the next. We start from yours.
Building assessment
We meet with property management, walk the lobby, garage, dock and common floors, and learn your access system, tenant roster and peak hours.
Post orders
Together we write the instructions for each post: visitor procedures, delivery rules, contractor checks, patrol routes and who to call for what.
Officer selection
We choose officers with the right temperament for a corporate lobby and introduce them to property management and key tenant contacts.
Regular check-ins
VWF management stays in touch with your property team, reviews daily reports and adjusts staffing as tenants move in, expand or change hours.
Office buildings in Miami and beyond
Miami offices come in many shapes. There are the glass towers of Brickell and downtown Miami, the corporate offices and consulates of Coral Gables, and the business parks and distribution headquarters of Doral. Each has its own pace. A Brickell tower may see heavy lunch traffic and visitors from all over Latin America. A Doral campus may care more about trucks, parking and shift changes. Our post orders reflect the building you actually have.
VWF is based in Miami and staffs teams for clients anywhere in the world. An owner with office buildings in several cities can work with one security guard company and one standard of service across the whole portfolio.
Who commercial office security fits
Our commercial office security service fits multi-tenant office towers, single-tenant corporate headquarters, medical office buildings, coworking spaces and mixed-use properties where offices sit above retail or a hotel. It also suits property management firms that want the same guest-first standard in every lobby they run.
Some buildings need fewer people on site. Our remote video monitoring can cover hours or areas where an officer is not needed. If you prefer an in-house team, our security consulting helps you write procedures and hire qualified officers onto your own payroll. For a mixed-use tower with a hotel component, see our hotel security officers.
